What is SHEFES Manager©?

  1. SHEFES Manager is a live interactive integrated Risk Management Program, with the added benefit of an emergency evacuation plan.
  2. The program has been written with the main goal of assisting the responsible manager, to monitor, manage and control the physical risks in his / her company or department.
  3. SHEFES Manager also allows the responsible manager to conduct his/her own internal audits on the physical risks.
  4. SHEFES Manager is a cloud-based data storage and management program which can remotely accessed by management to conduct the internal audits.
  5. Multi-national or even International companies have the benefit of managing their physical risks from a central point.
  6. SHEFES Manager is quality driven, i.e. documents used in the risk management program can be loaded and printed from anywhere to allow all departments and branches to use the same standard.
  7. The live maps and floor layouts used for the evacuation plan, are used to indicate physical risks and measures taken to mitigate such risks. The maps are interactive, i.e. you can click on the map on the icons provided and view details about the icon you are clicking on, e.g. service and inspection records of fire equipment, safety equipment, electrical installations, appliances and equipment, first aid kits and inventories and so much more. When you view a shortfall or problem on an equipment register or inspection checklist, you can click the Map button and the system will show the exact location of that specific equipment.

How does SHEFES Manager© work?

  1. SHEFES Manager uses your PC's preferred internet browser to view the program. Don't worry, this is an intranet connection. Only persons (PC's) connected to your internal network can view the program therefore all information displayed in the program, is eyes only and confidential.
  2. Some pages where the text and contents is larger than the page you view, will display a scroll bar on the side as well as at the bottom (like on this page). Use your mouse to navigate these scroll bars or simply use your arrows on your key board to move the text up, down or side ways (when required).
  3. When you open the program, press F11 on your keyboard to obtain the best view in full screen.
  4. Once you read and agreed to the conditions on the introductory screen, press continue.
  5. The next screen will be an overhead view of your site / area. The map is interactive which means if you click on a specific building or area, a floorplan or more detailed map will appear.
  6. The number of maps or floor plans will depend on the size of your site / area and number of buildings. Large buildings might also have more than one floor plan again depending on size of the floor area, number of storeys (floors) etc.
  7. Once you have "reached your destination", you can now click on the icons that appear on the floor plan. Detail about the risk or equipment that you click on will appear. For instance if you click on the icon of a fire extinguisher, the latest updated check list of that specific extinguisher will appear. A manager will be interested in information like when the extinguisher was last serviced, pressure tested and inspected. An outdated extinguisher in any one of these categories is an illegal extinguisher and the responsible manager would like to monitor and control these aspects.
  8. The same applies to specific risks and hazards. Details about a dangerous chemical can also be viewed. Documents such a material safety data sheets, risk assessments and latest related incident reports can be viewed by clicking on the icon.
  9. Over and above the interactive maps, are the electronic "files" of each of the six risk disciplines. These menus appear at the top of your page and are available on any page you view.

How does the Header Menus work?

  1. Look at the very top of this page. The different areas or floors is listed in what we call the "Header Menu". SHEFES Manager© will display the six disciplines in the left menu on every page you view. You can literally jump from your safety file, to your security file in just one click.
  2. The six risk files work pretty much the same. Each risk file will contain information about the structure of that file, i.e. the people responsible for that specific discipline.
  3. Each risk file will also contain documents like policies, standard operating procedures, inspection registers and check lists, data sheets, training certificates, appointment letters and all other documents related to that specific file. It is like having the actual file open in from of you, but with much easier navigation and all stored in one central position ... your pc. Managers have the advantage that they can audit these files from every where at anytime, provided of cause you have access to your server.
  4. There are two additional menus in the header that are very important and equally functional. The Quality function gives you all the registered templates of documents related to risk management at the click of a button. The quality function is a comprehensive inventory of all documents used by your company from extinguisher check lists to appointment letters, etc.

Navigation

  1. No we are not going to take you on a trip with your GPS ...this is the language used in the IT world to when you are moving around on a webpage.
  2. At the top of this page, just below the Header Menu is a short sentence saying "You are here: Home / Help". This will help you in two ways. The first and most obvious, it tells you where you are in SHEFES Manager. The first part (Home) tells you where you were and if you click on it, the system will navigate you back to that page. The second part tells you where you are currently. Notice how the first part is colour coded and with bold text. This means the text is a link to the previous page. If it is plain text, then there is no link and nothing will happen if you click on it.
  3. The deeper you go into a specific file, i.e. Safety, the longer this passage will be. If you click on "SAFETY" in the header menu (not yet), the safety menu will appear. If you click on any of the submenus, i.e. Safety Committee (no not yet), the Safety will turn into a link. Both "Home" as well as "Safety" can be clicked depending on how far you wish to go back. The further you go into a file, the longer the passage will be and the more links will appear, of which yu can select anyone at any time to return to that section.
  4. There is a restriction however. The "You are here" links only work on sub-menus and is not applicable on different files. If you jump from one section to another, i.e. from Safety to Fire, then the return to previous section will not work. You can however use your browser arrows (top left of the browser menu) to return to any previous page you have viewed. You will need to use this when you view pdf files within the program.

Viewing PDF Formats

  1. When you view a document in SHEFES Manager, the browser will use a pdf viewer which looks different than your SHEFES Pages. This is a browser function. Once you have viewed the document, DO NOT CLOSE the viewer. This will close SHEFES Manager altogether and you will have to reopen the program. Simply click on the browser arrow (Top left) to return to the previous page you have viewed.
